- Clear the clutter. Take everything off your desk and out of your office that does not belong there. Put the remaining items in 3 stacks: 1-File; 2-Act; 3-Toss (The FAT System™)
- Get out your calendar or planner. Write down everything you need to do tomorrow and the rest of the week. Review your plan first thing in the morning.
- Set up an Action File system. Get a file box or tote that holds hanging file folders. Put 10-15 files in for projects you are currently working on, or need to have easy access to. Get a Swiftfile! (Contact me with Swiftfile in the subject line for free shipping.)
- Set up a Reference System. These will be files in your office--desk drawer files, filing cabinets, etc. where you put information that you need to keep and have somewhat easy access to.
- Set up an Archive System. These files will be created when you run out of space with your reference files. Archives can be file boxes that are kept in a closet, attic or garage.
- Create a file index for each set of files. You can do this manually in excel or word, but why would you want to? Check out the Paper Tiger Software System, specifically designed to index and cross-reference your physical files. Brilliant!
- Schedule daily (or at least weekly) maintenance for your new systems. This is imperative. If you're not willing to do this step, then all the other steps won't work!
